Utopia for business
Managed IT Services for businesses that just want things to work.
Business IT support from a local team you actually know. We look after Microsoft 365, cybersecurity, backups, monitoring and day to day support, so your team can get on with running the business.
Building, supporting and maintaining business technology from Kilmarnock since 1996.
Sound familiar?
Your business already has an IT department. You just might not call it that yet.
Most small businesses don't set out to run their own IT. It just happens, one workaround at a time.
- 01 A director quietly became the unofficial IT person.
- 02 One employee seems to know all the passwords.
- 03 There is a backup, but nobody has ever tested restoring it.
- 04 A new starter arrives on Monday. Their laptop isn't ready.
- 05 Microsoft 365 grew organically and nobody really owns it.
- 06 Everyone agrees cybersecurity should be better. Nobody knows where to begin.
- 07 New hardware gets bought in a hurry when something finally breaks.
- 08 Someone leaves. Nobody is quite sure which accounts need to be disabled.
- 09 The current IT provider is hard to get hold of.
Managed IT turns all of that into our job.
The service
Everything your business needs from IT, managed in one place.
Take as much or as little as you need. Start with the essentials, then add more support as your business and technology change.
Business IT support & helpdesk
Somewhere to go when something isn't working, answered by people who already know your setup. Remote when it's easier, on-site when it needs to be.
Microsoft 365 Support
Licensing, email, Teams, SharePoint, OneDrive and user accounts, properly set up and actually looked after.
Read moreCybersecurity
Endpoint protection, email security, patching and monitoring, working together rather than as a box you bought once.
Read moreCyber Essentials
We help you prepare for Cyber Essentials and handle the technical work behind it, whether certification is a customer requirement or simply the right next step for your business.
Backup & recovery
Cloud backup for your email, files and Microsoft 365 environment, checked regularly, so recovery is something we do rather than something we hope for.
Monitoring & patching
Devices monitored for problems and kept up to date, so a lot of issues are dealt with before anyone notices them.
Networks & Wi-Fi
Wired and wireless networks that cover the whole building and keep working when the office gets busy.
IT procurement
We've been building and specifying computers since 1994. We'll help you choose the right PCs, laptops and workstations for your team, and tell you when what you already have is good enough.
The short answer
So, what are Managed IT Services?
Traditional IT support is often reactive: something goes wrong, then someone is brought in to fix it. Managed IT Services take a more proactive approach, with a team looking after your technology continuously.
We monitor your systems, keep devices updated, protect your data, manage Microsoft 365, support your team and help you plan what comes next. You get access to a wider IT team without having to employ one yourself.
Traditional IT support
- Something goes wrong.
- Someone notices.
- You contact IT support.
- The issue is investigated.
- Work may slow down while it’s fixed.
Managed IT
- We monitor your systems and devices.
- We keep everything maintained and updated.
- We protect your data, accounts and email.
- Many problems are dealt with before they reach you.
- And when you do need us, you speak to someone who knows your setup.
Managed IT doesn't mean nothing ever goes wrong. It means fewer problems reach your team, and when something does happen, you already know who to call.
Why businesses outsource IT
What you actually get out of it.
Outsourced IT support isn't about handing over control. It's about not having to be the expert in everything.
- A whole team
- Nobody is an expert in everything. You get access to people who know networks, Microsoft 365, cybersecurity and hardware, rather than relying on one person to know it all.
- Fewer surprises
- Support becomes a predictable monthly cost rather than an unexpected bill every time something goes wrong.
- Less downtime
- Problems are often dealt with before your team even notices them, because somebody is watching.
- Better security
- Security, patching, email protection and backups are looked after continuously, rather than whenever somebody remembers.
- No single point of failure
- Your business stops depending on one member of staff who happens to be good with computers.
- Easier starters
- A new employee arrives to a working account, a ready laptop and access to everything they need.
- SAFER OFFBOARDING
- When somebody leaves, accounts are disabled, access is removed and company data stays with the business. Nothing important gets forgotten.
- Backups that work
- Data is backed up and checked, so recovering something is a job we do rather than a conversation about what might be possible.
- Someone thinking ahead
- We will tell you what is ageing, what needs replacing and what can happily be left alone for another two years.
- Room to grow
- As your team grows, your IT support can grow with you without having to rethink everything from scratch.
Wondering what this would cost?
Build an IT support quote for your business.
Tell us a little about your business and the support you need, and we'll show you what Managed IT could look like. It takes a couple of minutes, and nobody's going to chase you afterwards.
Your quote is indicative. We'll confirm the final cost once we've understood your existing setup and what you actually need.
Local is a feature
Remote when it's easier.
Local when it matters.
Most IT support is faster handled remotely, and that's how we solve the majority of day to day issues. But sometimes you need someone in the room, setting up a new office, sorting a network or getting a machine back on its feet.
We're based in Kilmarnock, supporting businesses across Ayrshire and beyond. That means when you genuinely need someone on site, we can turn up. More importantly, the person you speak to probably already knows your team, your setup and which machine is the temperamental one. That's a very different conversation from explaining your business from scratch to a national helpdesk.
Cybersecurity
Security isn't a product.
It's everything working together.
There isn't one product you can buy that suddenly makes a business secure. Good cybersecurity comes from lots of ordinary things being done properly, consistently and by someone who takes responsibility for them.
Endpoint protection
Protection on the computers themselves, managed centrally rather than left to whoever clicked install.
Microsoft 365 security
Multi factor authentication, sensible sharing rules and Microsoft 365 accounts that are actually looked after.
Email security
Filtering for spam, phishing and the convincing invoice that is not from your supplier.
DMARC and domain records
Helping stop other people sending email that pretends to come from your business.
Patching
Updates applied regularly, so known security problems do not stay open longer than they need to.
Monitoring
Devices monitored so unusual behaviour can be spotted earlier rather than discovered after the damage is done.
Awareness training
Helping your team recognise the things that get past the technology.
Backup
Backup is a security control too. If something does get through, this is how you recover.
Cyber Essentials
A recognised cybersecurity baseline and a practical way to show customers, suppliers and insurers that you take security seriously.
Need Cyber Essentials?
Whether it's been requested by a customer, insurer or supply chain, we can help you prepare for Cyber Essentials. We'll work out what's in scope, identify what needs fixing and help with the technical work needed to get you ready for certification.
Email, files and accounts
Microsoft 365 without the mystery.
Most businesses we speak to already use Microsoft 365. Fewer have someone actively looking after it. We take care of licensing, accounts, security and the day-to-day admin that otherwise lands on whoever happens to have the password.
Licensing
The right licences, not the ones someone picked in a hurry.
Mailboxes, aliases, shared inboxes and the domain behind them.
Teams
Set up properly, so people can find each other, their conversations and the information they need.
SharePoint
Company files with a structure, rather than a shared drive nobody trusts.
OneDrive
Personal files synced and recoverable, not sitting on one laptop.
User accounts
Created, changed and removed by someone whose job it is.
Security
Multi-factor authentication and sensible policies, turned on properly.
Backup
Microsoft 365 data backed up separately, giving you another recovery option beyond Microsoft's built-in retention and recovery tools.
New starters
Their account, mailbox and access are ready before their first morning.
Leavers
Access removed, accounts secured and company data kept with the business.
Devices
Laptops and PCs managed properly, so a lost device is something you can respond to quickly rather than simply hope for the best.
NEED HELP WITH MICROSOFT 365?
Whether you're sorting out what you already have or starting again, we'll help you get it under control.
The difference
IT support, the Utopia way.
We've spent almost 30 years designing, building, repairing and supporting computers. Managed IT takes that same mindset and applies it to the technology across your whole business.
One team
You'll get to know us, and we'll get to know your business. Your team, your setup and the way you actually work.
Real people
No outsourced call centre reading from a script. No ticket disappearing into a queue somewhere else.
Local
Based in Kilmarnock, supporting businesses across Ayrshire and beyond. Remote when it's quicker, on-site when the job needs someone in the room.
Hardware experts
We don't just manage computers. We've been building them since 1994, so we understand what sits underneath the software too, and when the machine really is the problem.
Long-term thinking
Good technology doesn't need replacing just because it's getting older. We'll maintain and upgrade what still makes sense, and recommend replacement when it genuinely doesn't.
Straight talking
If you don't need something, we'll tell you. That's how we've sold technology for more than 30 years, and we're not changing now.
Sustainability
Keeping useful technology working for longer can be better for your budget and reduce unnecessary electronic waste. We'll repair, maintain and upgrade where that makes sense.
People first
Technology matters, but the people using it matter more. We explain things clearly, treat your team with patience and build support around how they actually work.
Part of the community
We're based here, employ people here and want the businesses around us to thrive. Supporting local organisations is part of building the place we all work in.
How it works
Getting your IT support sorted is easier than people expect.
Whether you're changing provider or putting Managed IT in place for the first time, most of the work is ours. Here's what actually happens.
-
Let's talk
Tell us what you have, what's frustrating you and what you'd like to be different. No commitment. No hard sell.
-
We learn your setup
We look at your devices, Microsoft 365, network, security and backups, then build a clear picture of what you actually have.
-
We build a plan
We'll tell you what should change, what can stay exactly as it is and what it's likely to cost. In plain English.
-
We take it on
Once you're onboarded, day to day support, maintenance, monitoring and security become our responsibility rather than yours.
-
We keep talking
Businesses change and technology changes. We keep reviewing what you actually need, which sometimes means telling you to spend less.
In their words
What our customers say.
I have been dealing with them for seven years now and they have always managed to perform above expectations and deliver. The technical knowledge and expertise is second to none. We have encountered problems along the way, as with any relationship, but they have always come up with an immediate solution that prioritises your positive outcome above their own bottom line.
Who we support
Different businesses. The same IT headaches.
The organisations we support can look very different from the outside. What they have in common is simple: they want their technology to work without having to think about it all week.

Common questions
The things people ask us first.
If yours isn't here, just ask. We'd rather have the conversation than have you guess.
What are Managed IT Services?
Managed IT Services give your business an ongoing IT team rather than waiting until something breaks. We look after support, devices, Microsoft 365, cybersecurity, backups, monitoring and the day to day technology your team depends on.
Is Managed IT suitable for a small business?
Yes. In many cases, smaller businesses benefit most because they need IT expertise without employing a full internal IT department. We can tailor the level of support around the technology, people and complexity of your business.
What does a Managed IT provider actually do day to day?
Mostly, we make sure your technology quietly keeps doing its job. That includes helping users, monitoring devices, applying updates, managing Microsoft 365, checking backups, improving security and dealing with issues as they appear.
Can we get an indicative quote online?
Yes. Our IT support quote builder lets you answer a few questions about your business and see an indicative cost in a couple of minutes. There is no salesperson waiting to chase you afterwards, and we'll confirm the final cost once we understand your setup.
How much does Managed IT support cost?
The cost depends on the number of people and devices you have and the support your business needs. You can use our online quote builder for an indicative cost, or talk to us and we'll work through your requirements with you.
Can Utopia replace our existing IT provider?
Yes. Changing IT provider is usually less disruptive than businesses expect. We'll learn your existing setup, identify what needs transferred and work with you to make the change as straightforward as possible.
Do you provide on-site IT support?
Yes. We're based in Kilmarnock and can provide on site support when the job needs someone physically there. Most day to day issues are faster handled remotely, so we use whichever approach makes the most sense.
Can you manage our Microsoft 365?
Yes. We can look after Microsoft 365 licensing, email, Teams, SharePoint, OneDrive, user accounts, security, backup and the everyday administration around new starters and leavers.
Can you help with Cyber Essentials?
Yes. We can help you prepare for Cyber Essentials by working out what is in scope, identifying what needs to change and helping with the technical work required to get you ready for certification.
Do Managed IT Services include cybersecurity?
Cybersecurity is a core part of how we manage IT. Depending on your setup, that can include endpoint protection, Microsoft 365 security, email security, patching, monitoring, backups, security awareness training and other controls.
Can you supply PCs and laptops for our team?
Yes. We've been building and specifying computers since 1994. We can help you choose, configure and support PCs, laptops and workstations for your team, and we'll tell you when the equipment you already have is perfectly good enough.
What happens when we take on a new employee?
We can help make sure their technology is ready before they start. That can include their computer, Microsoft 365 account, email, security, software and access to the files and systems they need.
What happens when someone leaves?
We disable their access, deal with their mailbox and files so the data stays with the business, and make sure nothing is left open. Nobody has to remember what to switch off.
Can you support businesses outside Ayrshire?
Yes. Much of Managed IT can be delivered remotely, so we can support businesses beyond Ayrshire. Our Kilmarnock location is particularly useful for businesses across Ayrshire that also want access to local, on site support when required.
Next step
Your IT probably doesn't need a revolution.
It might just need someone looking after it.
Tell us what's working, what isn't and what's getting in the way. We'll have an honest conversation about whether we can help, and we'll tell you if we can't.
